- BAA and Quote — We sign a Business Associate Agreement before anything else. You get a written estimate with chart counts, turnaround, indexing specs, and price. No work begins until both are signed.

How the Archive Works
Your records live in a HIPAA-covered cloud archive, organized by patient last name and date of birth. Your staff access the archive via a secure login — think of it as a well-organized, searchable records room you can access from any computer without opening a single filing cabinet.

How long does Arizona require us to keep medical records?

What format do you deliver?

How does my staff access records in the managed storage archive?
Via a secure web login — any computer with a browser, no software to install. The archive is organized by patient last name and date of birth, and because all files are OCR’d, you can also search by text content within the search interface. Most staff find what they need in under a minute.
Can patients request their records directly from Overland?
Yes, if your practice is on our managed storage tier. Patients (or attorneys, insurers, or authorized representatives) submit a request through the records request form on this page. We verify authorization, locate the records, and deliver them via encrypted link. Your practice doesn’t have to handle the request at all. Fee is $20–$25 per fulfilled request, charged to the requestor.
What happens to the archive if we switch EHRs or change practice management systems?
Nothing — the archive isn’t connected to your EHR. It’s a standalone indexed document store. If you want to migrate the files into a new EHR after switching, we can export in whatever format the new system requires.
Can you add new records to the managed archive on an ongoing basis?
Yes. You can send us new records as they come in — via fax, email, or upload — and we add them to the appropriate patient file in the archive. There’s no per-document fee for additions; it’s included in the monthly hosting fee up to a reasonable volume threshold we’ll agree on upfront.
What happens at the end of the required retention period?
We’ll notify you when records are approaching the end of their retention window. You can authorize secure destruction (we provide a certificate) or transfer the files to you for your own storage. Arizona’s 6-year minimum for adult records is the floor; some specialty records and minor records have longer requirements, which we track per patient.
What about closed practices or transitioning ownership?
We handle records scanning and managed storage for practices in transition — whether you’re selling, merging, adding partners, or winding down. The archive stays live under our HIPAA coverage during the transition period, giving the incoming group access from day one.
